This notice explains what personal information Stone Finch collects, why we use it, who we share it with, and the rights you have.

Who we are

Stone Finch is the controller for the personal information described in this notice. You can contact us at contact@stonefinch.uk.

We are based in the UK and work with businesses that want to improve operations using AI, automation and better workflow design.

What we collect

We may collect and use:

  • Your name, email address, company name and website.
  • Information you send through our contact form or by email.
  • Information you provide when booking a call through Google Calendar.
  • Basic technical information about website visits, if you allow analytics cookies.
  • Hosting, security and delivery logs needed to run and protect the website.

Please do not send confidential, sensitive or customer personal data through the contact form unless we have agreed a secure route for it first.

Why we use it

We use personal information to:

  • Reply to enquiries and arrange calls.
  • Understand what kind of problem you want to solve.
  • Prepare proposals, scopes of work and follow-up messages.
  • Run, secure and improve the website.
  • Understand high-level website performance where analytics consent has been given.
  • Meet legal, tax, accounting and record-keeping obligations where they apply.

Our lawful basis

Under UK data protection law, we need a lawful basis to use personal information. Depending on the situation, we rely on:

  • Legitimate interests to respond to business enquiries, manage relationships, improve the website and keep basic records.
  • Consent for optional analytics cookies. You can reject these and still use the site.
  • Contract where we need information to prepare, enter into or deliver work with you.
  • Legal obligation where we need to keep records for tax, accounting or compliance reasons.

Cookies and analytics

We use a small consent banner for optional analytics. If you choose Allow, we use Google Analytics to understand visits and improve the site. If you choose Reject, optional analytics will not be loaded.

We also store your analytics choice in your browser so we do not have to ask on every visit. We do not use advertising cookies on this site.

Who we share it with

We do not sell personal information. We may share it with service providers that help us run the website, email, calendar booking, hosting, contact form and analytics. We only use these providers where they support the running of Stone Finch and are expected to protect personal information appropriately.

If we work with you on a project, we may use additional tools or suppliers agreed as part of that work.

Where data is processed

Some suppliers may process personal information outside the UK. Where that happens, we expect appropriate safeguards to be in place, such as recognised contractual protections or equivalent transfer mechanisms.

How long we keep it

We keep personal information only for as long as we need it. As a guide:

  • Enquiries are usually kept for up to 24 months after the last meaningful contact.
  • Call booking details and follow-up notes are kept for as long as needed to manage the relationship.
  • Customer and project records may be kept for longer where needed for contracts, tax, accounting or legal reasons.
  • Analytics data is kept according to our Google Analytics settings and reviewed periodically.

Your rights

You have rights over your personal information. These may include the right to ask for a copy, correct it, delete it, restrict how we use it, object to certain uses, or withdraw consent where consent is the basis for processing.
